Features
CCMS significantly increases a company’s ability to document and manage the electronic communications sent and received by network users. It allows a company to monitor, store and retrieve all forms of electronic communications over its information technology network, including regular and internet based emails, instant messaging, file transfers and internet browsing.
Not only does CCMS record an abundance of information, it operates in a unique style.
Ease of Use.
The ready-to-deploy appliance delivers unprecedented levels of access control, user transparency, performance, flexibility and adaptability. CCMS uses a dual system interface that requires only an administrator and an analyst. The administrator sets and changes the configuration and the analyst monitors the internet activity for violations. No technical knowledge is necessary to effectively administer the system or analyze reports. And whether managing a single CCMS box or dozens of network probes and storage servers, administration is done from one central location.
Ease of Implementation.
CCMS can be implemented in only a few hours. It is seamlessly integrated with no changes to your existing network configuration and can be done by your IT group. If your company does not have an IT group, the CCMS team can provide assistance with the set up. Each CCMS unit comes preinstalled, preconfigured and does not require client-side software installation. Transparent to network users, the appliance runs on a secured Linux operating system and resides exactly before the internet gateway, which eliminates the possibility for a single point of failure. It works with the switch or hub to capture all communications as it enters and leaves the local network.
Breadth of Captured Content.
The key to CCMS is in its ability to capture, analyze, record and index all authorized and non-authorized communication passing through the network gateway to the internet as they are sent or the upload/download completes. This includes POP and web-based emails, instant messaging, file transfers and web browsing. If the content of these communications is questionable or does not coincide with company policies, the content is flagged according to severity and the appropriate party is notified of the activity. And once in the system, captured data can be recalled according to user, conversation or content.
The company has full rights and the flexibility to decide what CCMS will capture. For example, a business may choose to catch emails and not instant messages; record emails but not the attachments; or capture documents being sent and received but not MP3 files.
Deep Content Analysis.
Zipped files are unpacked and searched for pre-set text strings - the same as any other attached document. CCMS recognizes text, HTML, XML and Microsoft Office files.
Open Communication.
CCMS does not block any communication, and for good reasons. Communications that are blocked can often be bypassed and therefore not captured by a monitoring device. CCMS empowers a company to take full advantage of the available internet resources and use of the best productive and cost reducing tools.
Notification of Violations.
CCMS detects use of disallowed protocols, applications and internet hosts, and scans and monitors content for present and custom defined text strings and communication patterns and alerts the responsible officers. When violations occur, CCMS can automatically email the violator and/or appropriate party. And system reports containing preset information can be automatically generated and sent by email, which allows the analyst to view any activity of interest without pulling up the CCMS interface.
Identifying the Individual.
CCMS identifies the computer used and the communication by email address, or IM user ID. So, information is captured specific to the employee, even if a person moves around the office using more than one computer during the day. This assists in the recording, indexing and retrieval of messages. And when computers change IP or DNS addresses, communication can still be accurately recorded.
Organized Storage System.
Communications are stored on CCMS’s size-optimized long-term database or exported to a standard or WORM (Write Once Read Many) tape and stored for five, seven or more years. When storing and archiving communications, whether exported to a tape or stored on the system, CCMS utilizes an integrated server to index the communication content so that it stays searchable for easy retrieval.
Encrypted Communications Privacy.
Encrypted pages are not decrypted and for good reason. Bank websites and other personal pages that are accessed by using a pin number or code should not be accessible to anyone except that individual. And though CCMS records that the person is visiting the site, by not decrypting the page, it prevents anyone from accessing this information.
Security.
CCMS operates over an encrypted connection so that only authorized users can access information. Communication between multiple CCMS devices on a network is also secure and as an option, data can also be encrypted.
Flexible Architecture.
CCMS has several different models that can be combined to suit a range of PPAMs. And each model can be customized to meet the specific needs of a client.
Expandability.
CCMS is designed with the ability to expand with a company’s network growth. Additional models acting as network probes can be added at any time to handle the escalation in internet traffic.
Cross Protection.
The dual system interface is set up so that the administrator and the analyst can only do so much. For example, the analyst cannot set policies and the administrator cannot view violations.
No Hidden Costs.
What you see is what you get. There are no additional costs that will not be provided to you up front. Licensing fees are calculated based upon a range of users on your network – not on a per user basis. And with CCMS, all hardware, software, maintenance and support are included. Plus, software upgrades are free for one year. And no additional software licenses are needed, making the total cost of ownership extremely affordable.
